Event Cancellation by MPI

Meeting Professionals International (MPI) reserves the right to cancel an event due to low enrollment or other circumstances which would make the event non-viable. If MPI cancels an event, registrants will be offered a full refund. Should circumstances arise that result in the postponement of an event, MPI has the right to either issue a full refund or transfer registration to the same event at the new, future date. MPI will not be responsible for reimbursement of any participant’s expenses related to the cancellation or postponement of an event.

Cancellation Policy for WEC

Once registered, attendees can cancel their registration up until 60 days before the start date of WEC for a fee of $150. If cancellation occurs within 60 days of the WEC start date, attendees will forfeit half of their registration fee. If cancellation occurs within 30 days of the WEC start date, the registration is nonrefundable.

Cancel by April 29, 2027:

• Fee: $150 cancellation fee.
• Refund: The remaining registration fee will be refunded.

Cancel between April 29 and May 29, 2027:

• Fee: 50% of the registration fee will be forfeited.
• Refund: 50% of the registration fee will be refunded.

Cancel after May 29, 2027:

• Fee: No refund will be issued.
• No shows: No refund will be issued.

Cancellation Process:

• Cancellations must be received by the stated deadlines and will be accepted in writing only.
• Refund requests must be made by the registered attendee or credit card holder and include the name of the attendee and/or transaction number.
• Refunds will be issued via the original payment method used, no later than 30 days after cancellation has been approved.

NOT ELIGIBLE FOR A REFUND:

• Membership fees associated with New Membership Bundles
• Rendezvous Tickets
• Discount or special promotion codes are only available on new registrations, refunds are not available to any existing registrations

Substitution policy 

Substitution of registration (same type: member/non-member) is permitted prior to May 29, 2027. Only one substitution is permitted per original registrant with written consent. The individual submitting the substitution request is responsible for all financial obligations associated with that substitution as well as updating any contact/demographic information. Consent to the Use of Photographic Images

I hereby give consent to Meeting Professionals International (“MPI”), Meeting Professionals International Foundation (“MPIF”), and third parties authorized by MPI or MPIF to use my image and likeness, including, but not limited to, my name, voice, appearance, performance, and identity as an event attendee, on any medium or record, including, but not limited to, photo, stills, video, audio, or electronic reproductions for MPI’s or MPIF’s commercial or other purposes throughout the world.

I understand this consent extends to original content I have written or created, content in which I am included, or content that incorporates my commentary, works, or alterations. I also understand that such content may be used for internal, MPI, or MPIF use within the organization, may be freely available on the internet where it can be seen by the general public, and may be used outside of MPI or MPIF for external purposes, including on their or other websites. I further understand that such content may be used or referenced on social media channels where I may be identified as someone associated with MPI or MPIF. I understand that such content may be used in different languages, formats, and situations. 

I agree that all content subject to this consent shall be and shall remain the property of MPI or MPIF. I understand and agree that this consent is perpetual.

By attending this event and agreeing to the terms and conditions, I acknowledge my understanding of the terms and agreement to be bound by them.

Liability Waiver & Release

In consideration of being allowed to register for, and participate in, an event, activity, or experience (“Event”), I hereby waive, release from liability, assume all risks, and covenant not to sue Meeting Professionals International (“MPI”), Meeting Professionals International Foundation (“MPIF”), or their respective members, employees, board members, agents, or volunteers (the “MPI Parties”) for any expense, loss, damage, personal injury (including loss of life, disability, or serious harm), property damage or theft, negligence, or actions (each, a “Loss”) resulting from or arising in connection with my travel to, attendance at, or participation in the event and any related activities unless said Loss is caused by the sole, gross negligence of MPI or MPIF, respectively. 

I agree that this waiver and release shall bind me and my personal representatives, shall be enforceable to the fullest and broadest extent of the law, and, if any portion is held invalid, the remainder should continue in full legal force and effect. I am an adult of sound mind and capable of entering into this waiver. I have read its terms and fully understand and agree to the provisions herein. 

I agree that this wavier shall be governed by and construed in accordance with the laws of the State of Texas and enforce only in courts in the State of Texas. I waive my rights under the Deceptive Trade Practices-Consumer Protection Act, Section 17.41 et seq., Business & Commerce Code, a law that gives consumers special rights and protections. After an opportunity to consult with an attorney of my own selection, I voluntarily consent to this waiver.

I understand and am aware that my participation in the event involves risk, including, but not limited to, travel, physical activity, locales where public health and safety may be at risk, or activities that involve risk that I create for others or others may create for me. These risks may lead to a Loss, and I nonetheless choose to participate in the event. 

I am also aware that there are risks that I may not have considered, yet I waive my right to any claims that may occur from these unconsidered risks and I choose to participate in the event. I acknowledge that no promises, representations, or affirmations of fact were made to me by MPI or MPIF or its representatives concerning the safety or danger associated with traveling to the event or participating in any activity or interaction related to or associated with the event.
